Position Summary

Assists in general administration and all related functions for the property.  Responsible for conducting rental inquiries.  Acts as a liaison between manager and maintenance department by coordinating resident requested service.  Answers phone, greets visitors and channels inquiries to appropriate staff members.  Must have working knowledge of personnel, accounting, leasing, maintenance, computers, marketing and resident retention policies and procedures.

-Completes survey/welcome card for each prospect

-Enters application and lease into computer system

-Follows up with residents regarding quality and promptness of service with either a phone call or written questionnaire.  Relays feedback to Property Manager

-Receives service request from residents and records in appropriate record book

-Responds to internet inquiries promptly

-Helps with monthly newsletter by writing and typing articles

-Prepare and maintain resident files

-Records traffic and rental activity promptly and accurately

-Participates in resident activities, open houses and other events to promote community

-Makes coffee, bakes cookies, and other refreshments for residents and prospects

-Puts balloons, promotional signs, etc. on property

-Completes and updates move-in, move-out and rental packets

-Performs general administrative duties such as logging rent, filing, typing, mailing, ordering supplies, and resident termination calls

-Performs monthly market surveys and shops competition

-Follows Fair Housing regulations

-Required to work weekends

-Completes all necessary paperwork efficiently and timely to process application

-Process applications within 48 hours, obtain property manager approval, and notify applicants of results

-Prepare lease packages

-Complete move in package, test keys and inspect apartments prior to move in

-Conduct new resident orientation

-Implement and participate in social functions and resident appreciation days

-Participate in community outreach activities

-Performs all other duties as requested by the Property Manager

Position Summary

To work in accordance with established policies and procedures while managing the day to day operations of the community.  The Property Manager is responsible for overseeing and enhancing the value of the property, developing and motivating the staff, maintaining positive resident relations and performing marketing as required.

-Directly supervises leasing and service staff and monitors daily leasing activity

-Responsible for scheduling, hiring, counseling, training, and other personnel related activities directly related to on-site staff

-Evaluate and review the performance of leasing personnel and report to supervisors with concerns, compliments and/or areas requiring improvement

-Maintains the physical condition of property by seeing that appropriate maintenance is routinely performed on the property

-Performs inspections of “make-ready” apartment homes to ensure company quality standards are met or exceeded in a timely fashion

-Responsible for ensuring all paperwork necessary to qualify applicants who are interested in leasing an apartment home is complete, accurate and processed timely

-Responsible for ensuring accuracy and consistency of move-in inspections and all related  paperwork, including providing notary services as needed

-Responsible for monitoring, reviewing, documenting and recapping all resident service requests, lease renewal, delinquency and any other miscellaneous requests, using the “warm call” program.

-Responsible for performing and reviewing move-out inspections and all paperwork necessary upon a resident’s move-out

-Maintains and transmits payroll records timely and accurately

-Perform written evaluations of all property employee and provide recommendations for compensation adjustments and/or promotions

-Keeps accurate records of income and expenditures to ensure keeping within budget to achieve maximum NOI

-Approves and codes appropriate invoices using proper general ledger categories

Position Summary

Position Summary

To work in accordance with established company procedures and instructions from Property Manager, Service Supervisor and/or Service Coordinator.  Responsible for making certain that the interior common areas of apartment buildings as well as entry ways into the apartment buildings are clean and fresh.  Also responsible for keeping the grounds free of litter and trash.

Responsibilities (Other duties may be assigned.)

-As directed, cleans common area stairway, hallways, garages, baseboards, elevators, laundry rooms, lobby areas, doors, railings and walls in apartment buildings.  This includes, but is not limited to mopping, dusting, wet-wiping, vacuuming, broom sweeping and trash removal

-As directed, cleans fingerprints and smudges from glass doors and windows in common areas, clubhouse and model

-Cleans washers and dryers and surface areas throughout laundry rooms

-Cleans areas around dumpsters and parking lots

-Daily policing of property which includes picking up trash, debris (including pet feces) and watering of seasonal plantings

-Checks to see that interior and exterior building lights are working and fire extinguishers are in place and working properly

-Reports any maintenance concerns or repairs to supervisor

-Monitors and reports on the inventory of cleaning supplies

-Removes snow and ice from common walkways and parking lots

-Pool care (as defined by supervisor)

-Mold awareness

-Delivers resident correspondence at request of office staff, including monthly newsletters, resident referral flyers, etc.

-Completes routine service requests to assure the highest quality customer service satisfaction if assigned.  Returns completed work order slips, noting supplies and materials used, time to complete the call, and the date of completion

-Prepares turnover units for occupancy, according to management schedule.  Completes and returns turnover checklist

-Maintains adequate inventory levels

-Reports any maintenance problems to the supervisor

-Participates in ongoing community maintenance and improvement plans

-If assigned a vehicle, maintains logs on that vehicle.  Responsible for proper maintenance of that vehicle and any other equipment assigned
